  • If you are driving 5 hours or more or flying out on Sunday, the Central Office will pay for hotel rooms for Friday and Saturday nights.
  • The number of rooms provided will depend on the number of chapter delegates (4 brothers to a room when applicable). Chapter advisors will have ½ of their hotel rooms covered. If advisors choose to have a single, they will pay the other half.
  • The Central Office will make hotel reservations. Chapters are not to make their own reservations or contact the hotel directly. Please direct all hotel questions to the Central Office.

Transportation

  • Chapters are responsible for driving/covering traveling costs themselves (unless pre-approved for reimbursements/flights from the Central Office)
  • Chapters that are driving must arrive before the 9:30 a.m. registration, and chapters can’t depart Emerge until after 5 p.m.
  • If you have more than a 5-hour drive, you may elect to fly, train, or hire a van/bus service, depending on which is more economical. The Chapter President will handle transportation with the Central Office. Flights will be booked using Delta Tau Delta’s travel service. Chapter members should not book their travel until they receive instructions from the Central Office.
  • Chapters using purchased transportation must arrive Friday night and depart no earlier than 7 pm on Saturday.
  • All travel must be booked and confirmed by January 10, 2025. The chapter will be responsible for any travel costs after that date.

Cancellation

  • If a member does not attend or cancels less than five days before the event, the chapter will be billed for the costs associated with that member ($50 registration cancellation plus any travel costs incurred by the Central Office).
  • A chapter can replace an officer with another officer if he is on the approved officer list. However, the chapter will be responsible for any travel costs associated with canceled or rescheduled flights.

FAQs for Chapter Advisors and Officers

Q: What is Emerge?

A: Emerge is a one-day workshop focused on officer training and executive board development. Chapter officers can learn their positions, plan their year together, and meet other chapter members from the region.

Q: How is Emerge different from division conferences?

A: Emerge focuses solely on officer training and does not include the additional elements of Fraternity business and general leadership development. It will be a one-day event in each region, with fewer chapters in attendance at each one. While division conferences were open to any officer and volunteer, Emerge will be limited to specific chapter officers and volunteers, as there will only be officer education offered at the program.

Q: Who from the chapter should attend?

A: Emerge will focus on training officers as outlined in the Delta Tau Delta officer structure. Since the day's focus will be the incoming executive board, attendance will be limited to 1 chapter advisor/volunteer and a max of 9 undergraduate officers who were elected to positions (from the list below). Chapters may not send substitutes unless it is a member serving in an assistant position. Chapter advisors should work with their regional governor for any requests for exceptions to the attendance policy.

The chapter officers who are expected to attend can be any combination of the following: President, Vice President, Director of Finance, Director of Recruitment, Director of Communication, Director of Recruitment, Director of Risk Education, Director of Member Development, Director of Standards, New Member Education Coordinator, and Academic Affairs Coordinator. No chapter should have more than 10 attendees, including the chapter advisor.

Q: What if my executive board cannot attend Emerge for our region? Could my executive board split up into two different locations?

A: Your executive board should plan to attend Emerge together in your region. A chapter may request to attend the Emerge in a different region if there is a significant campus conflict. For example, the Emerge conference is scheduled for the same weekend as campus recruitment, or there is a required officer training hosted by the college/university. Chapters will be responsible for the cost of travel to the alternate Emerge location that exceeds the cost of travel to their region’s Emerge. Chapters must request to attend an alternate Emerge and provide documentation of the conflict by November 25, 2024. If a chapter does not request to attend an alternative Emerge by that date, the chapter will be responsible for all travel and hotel expenses to attend the alternate Emerge date.

Q: What if I have chapter members who want leadership development programming that was offered at division conferences?

A: They should check out Compass, which is open to all members and focused on personal and leadership development.

Q: Should advisors plan to attend Emerge?

A: Yes! Volunteers will be critical to the program's success. In addition to having time with your chapter to plan for the year ahead, volunteers will serve as position coaches throughout the day. Volunteers (one per chapter) will be partnered with an officer position to help coach members in understanding the role.

Q: How far away is Emerge?

A: Most sessions of Emerge should be within comfortable driving distance of the chapters. If chapter members are not within reasonable driving distance of their region’s location, arrangements will be made for hotels or flights as appropriate. More information is available in the travel guidelines, which will be available soon.

Q: How much is this going to cost for my chapter?

A: There should be little to no cost to chapters/chapter members! The Fraternity and Educational Foundation are committed to making this program as accessible as possible for our chapters. There are no registration fees. Lunch and snacks will be provided on-site. Certain chapters that drive longer distances may be eligible for mileage reimbursement (must be approved by a Central Office staff member). Chapter members who need to fly or stay in a hotel will have those costs covered by the Fraternity, as indicated in the forthcoming Emerge travel guidelines.

Q: What about the costs to the volunteers?

A: The travel guidelines will apply to volunteers. Depending on your travel needs, you will either be reimbursed or have your costs covered.

Q: Is there really little to no cost to the students?

A: There are no registration fees. However, there will be a $50/member late cancellation/no-show fee for members who do not attend, along with any necessary travel costs incurred by the Central Office. This will be billed to the chapter. More information about any fees will be included in the registration materials. Travel is the only thing the chapter will need to cover (minus pre-approved flights/pre-approved mileage reimbursement).

Q: What are the benefits of attending Emerge?

A: Newly elected officers will have an opportunity to learn more about their new role, spend time with their chapter advisors, and meet other chapter officers in the region. Additionally, chapters whose officers attend Emerge and President’s Excellent Institute will be eligible for a decrease in their chapter insurance allocation for the following year.

Q: Does my chapter have to stay for the entire event?

A: Yes. Chapters are expected to stay for the full duration of the event (10:00 am-5:00 pm). If a chapter decides to leave Emerge early without obtaining approval from Fraternity staff on-site or the Central Office, they will forfeit the insurance discount benefit and face any additional consequences deemed necessary by the Central Office.

Q: What should officers bring to Emerge?

A: Officers only need to bring something to write with, a notebook to take notes, and your enthusiasm/willingness to learn something new!

Q: Will there be virtual options for Emerge?

A: There will be no virtual options for Emerge.
