Campus Fraternity Staff - Resources, not Rivals

Like many of you, I spend much of my free time working with my local Delta Tau Delta chapter. I've been with them since their recolonization seven years ago and have learned as much from them as (I hope) they've learned from me. In my "day job," I work at the Ohio State University, specifically in the Ohio Union in the Office of Student Life. I've been fortunate to work alongside the professional staff members who serve as the advisors and coordinators for our fraternity and sorority community. My relationship with those colleagues, by virtue of my own work, may certainly be an exception, but it's not impossible for any advisor, and chapter, to utilize these administrators as a resource rather than regard them as an obstacle to be overcome. 

My time with Delt over the last several years has afforded me the opportunity to network with many current and former campus administrators, so rather than simply relate my individual experience working with the staff at The Ohio State University, I talked with several others in these positions to ask how we as a Fraternity can be the recognized standard in this important area.  

I propose a three-part plan to improve the relationship between your own Delt chapter and the campus community you are part of.

VM: What chapter do you advise?
WA: Theta Eta Chapter, University of South Carolina
 
VM: How long have you been advising?
WA: Official chapter advisor for a year and a half. Helping with chapter over two years. 
 
VM: What advice could you give a new chapter advisor?
WA: You have to walk a delicate line when being a chapter advisor. My best advice is to gain their trust and respect. I feel if they respect you and trust you, then you can have a very good relationship with the chapter. You do not want to gain their trust by being drinking buddies. They may open up with you but they essentially have lost respect for you. You have to figure out a way for them to know you have their back and are on their side.

Futures Quest Scholarship Applications Available - Due Nov. 1

What is Futures Quest?
Futures Quest is a three-day leadership program for men who have joined a fraternity in the last year. It is sponsored by the North-American Interfraternity Conference (NIC).  The focus of the weekend is identifying personal strengths and challenges, developing leadership and communication skills, exploring personal values and strength of conviction, and making a commitment to fraternal ideals.

When is it?
Session 1: December 17-19, 2011
Session 2: January 5-7, 2012

Where is it?
Each session will be held at Camp Tecumseh in Brookston, IN.  Participants fly into Indianapolis and the NIC provides transportation to the camp. 

How much does it cost?
Delta Tau Delta scholarships cover the registration cost of $395.  Recipients would need to cover their travel expenses.

How does a student apply for a scholarship?
The application is available at http://www.delts.org/leadership/futures.html and is due Nov. 1, 2011.

  • Discuss how the chapter informs new members and pledges on the importance of having good grades and available assistance.

Meet With the Executive Committee
Brotherhood Sustains Us

  • Review the intended results/goals of the executive committee.
  • Has the chapter made progress toward these intended results? Where are the holes? What needs to happen to reach the intended results?

Fraternity Awards/Accreditation Report (FAAR) due Nov. 1
Accountability is fundamental to all commitments

  • Meet with the executive committee to review and complete FAAR.

OCT 15: September's Monthly Financial Report (MFR) due (fine incurred after 25th)
OCT 15: Fall Enrollment Report due from schools beginning September 1 or later
OCT 15: Kershner Scholar report due for Spring 2011 grading period
OCT 25: Deadline for presenting Member Responsibility Guidelines (MRG)
OCT 25: Deadline for submitting Pledge Program Extension Petition for Spring 2012
OCT 31: Liability Insurance due (full balance or first installment of a minimum of 25 percent of total billing) 
OCT 31: Annual Dues payment deadline from schools beginning September 1 or later

NOVEMBER 2011
NOV 1: Fraternity Awards/Accreditation Report must be postmarked
NOV 15: Applicable Version of Form 990 due to the IRS (990, 990-EZ or 990-N for all chapters/colonies)
If a chapter/colony has a fiscal year end that is other than June 30, the applicable version of Form 990 is due on the 15th day of the fifth month following the fiscal year end. 
NOV 15: October's Monthly Financial Report (MFR) due (fine incurred after the 25th)
NOV 24-25: Central Office closed for Thanksgiving
NOV 30: Liability Insurance due (second 25 percent of total billing)
